An exciting opportunity to join ccha as an HR Assistant, ideal for someone wanting to gain more experience, or return to an HR/Recruitment role.
You will be part of a small friendly housing association (not for profit) committed to ‘delivering on our promises’ and providing a high-quality service to both our staff and residents.
As HR Assistant you would be supporting our HR Officer with recruitment and onboarding along with generalist administrative duties 4 days a week, plus 1 day a week on our EDI data project, with the expectation of working 1 to 2 days in the office.
Fixed-term contract - Full-time 35 hours per week. £27,150 per annum.
Role purpose
Your role as HR Assistant is integral to the success of both HR/Business Support and the wider organisation. As an active member of the team, you will deal efficiently with questions and queries and coordinate responses. You will support the HR Officer with the recruitment and onboarding process as well as assist the HR Administrator with administrative tasks, providing effective, accurate and timely support to the HR team, employees, and wider management.
Coordinate a set data project, efficiently running and communicating timescales and expectations to all involved, ensuring accurate outcomes.
Accountabilities
HR Generalist/Administration:
- Providing administrative support to the HR team, particularly recruitment and onboarding
- Assisting the HR Administrator in ad hoc administrative tasks as required including data and record upkeep, spreadsheet work and electronic filing.
- Assist with quarterly GDPR data clearance under the guidance of the Senior HR Advisor
- Provide occasional cover for the HR Administrator including management of the HR inbox
Recruitment & Onboarding:
- Support the HR Officer on the external jobsite portal for recruitment drives. Ensure the system continues to support the organisation's recruitment needs.
- Support HR Officer to carry out recruitment campaigns by liaising with agencies and candidates, organising tests and interviews, drafting correspondence and obtaining required data.
- Proficiently using IT systems in place to ensure the recruitment process runs efficiently and data is updated and stored fully and accurately.
- Maintain electronic job vacancy files, ensuring the information is kept up-to-date.
- Set up and track new starters; onboarding, induction and training to ensure all compliance deadlines are met
- Assisting with the scheduling of interviews and managing calendars for interviewers and candidates
- Coordinating travel for candidates, greeting interviewees on site and assisting with first day induction process
- Keeping accurate records of candidate information and updating databases as needed.
- Liaise with line managers the Business Support team and IT to organise new starters first day
- Assisting with the onboarding process for new hires, including preparing offer letters and handling administrative paperwork.
Data Entry
- Coordinating the data entry of EDI information from resident survey onto CRM Housing System
- Accurately Inputting EDI data into the CRM Housing System
- Working with EDI lead and other data entry persons to make sure information is added correctly and queries are addressed
- Spot-checking data entry for accuracy
Employee relations & Wellbeing
- Be an active member of the ccha Wellbeing Committee, assisting with activities and events, and contributing to the continuous improvements of employee work-life balance and mental/physical wellbeing.

- Promote equality, diversity and inclusion throughout the recruitment process and the fair application of ccha policies and processes and escalating any areas of concern.
- Assist with the successful delivery of the Equality, Diversity & Inclusion strategy and action plan (e.g., booking training, research, running reports/basic data input/analysis).

- To fulfil any delegated responsibilities given around ccha’s subsidiary company.

Key skills:
